Summer Time / Inactivity

With the summer months approaching, this should be a good time to find some new members who have more time on their hands. Make sure we are looking to find the next quality members for XG.

This is a great time to make sure that your clan list and usergroup is up to date. Also, make sure that your members are communicating when they will be inactive due to trips, vacations, or any other life circumstances.

Training Future Leadership

When looking at members for potential future leadership, make sure you have prepared them to the best of your ability before their promotion. Knowing the basics of the community and what needs to be done to meet the goals and expectations of their rank will ensure the transition is smooth for them and they will step into the role with confidence. No matter how long someone has been a leader, there will always be more to learn - just because someone has been in their rank for a long amount of time doesn't mean that someone else couldn't be promoted first, if they are showing more potential and accomplishing goals that are set, they should be recognized accordingly.

Captain's Usergroup Requests

Please make sure that when a captain is no longer in that rank, you are removing them out of the Captain's usergroup. Also, if someone has been promoted to Captain, they need to be added into the usergroup in order to get the banner underneath their name on the website that says Captain. Before a captain is added into the usergroup, make sure that your clan list is updated and lists them as a captain, and that they have also already posted their own squad list, or the request will be denied.

MEETING NOTES 05/03/2020

The key to success is to focus on success, not obstacles!!!

General

Clan Activity

As a General, you are expected to spend time with all members of your clan. If you are only playing with a select number of people in your clan, it's important that you recognize that and make sure you are trying to touch base with all members weekly to make sure they are good. Gaming or even just spending time with members in parties will help you to see who the potential future leaders are for your clan and give you an idea of what they need to work on in order to get to that next step.

Setting up for Success

As General, it is your responsibility to make your clan successful, with the help of your XS. First, make sure that you and your leadership understand all ranks and the responsibilities of each one, as well as what is expected to meet those requirements. Then you need to make sure you take your General's classes, fulfill your responsibilities, while guiding and teaching your members and leadership.

If you see that your clan is struggling with activity, reach out for help if you aren't sure how to fix it. Set realistic goals that will help your clan move forward, and make sure you are holding weekly meetings as well as clan and squad game nights or activities to keep everyone involved. Being proactive instead of reactive will make your clan stronger and less likely to start going down that slippery slope of inactivity and dying.

Complacency and Time

Remember we should always be striving to better ourselves, our clan and our community. The day we grow complacent, is the day we start to move backwards. Keep going forwards! Time is limited, so choose what you want to do with it. Do you want to sit around and do nothing? Or make the decisions that will make you happy and ensure a better future for you, the clan and the community? Your destiny is in your hands.

Ask yourself and your leadership to think about this whenever they are on the Xbox: what can I do to make Xiled Gaming better than yesterday? If that means just talking to someone and getting them more invested in the community then that helps. The more invested a member is the more they will want to put in.

Accountability

As a leader in XG, you have displayed the drive and desire to be an asset to help XG grow. However, once you reach the next level, are you holding yourself, your peers, and your clans accountable to the high standard that XG requires? Are you using the tools that are available to continue to grow the community and future leaders? Or are you taking it easy, now "that you made it?" You must hold yourself accountable to continue to grow as a leader and to uphold the ideals of XG. This is done with your day to day attitude and actions being consistent with what is expected of a leader in XG. You cannot be effective if you are only being accountable part of the time.

Communication

Many times we have discussed the importance of communication and the fact that it is the Key to Success of XG. Information needs to be shared up and down the chain of command so that everyone is working as one team to continuously improve XG. For the most part, the leaders of XG do a good job of disseminating the information, as requested. No one should have an issue sharing upcoming game nights, Game with Fame, or of a recent promotion or clan split, because this is good news.

However, as a leader in XG, you must also be able to have any "difficult" conversations when needed. If someone in a leadership position is failing short of the requirements and expectation, a conversation needs to be had to explain where they are lacking, what they need to do to correct the deficiencies, and the timeline to do so. In order to recognize when these types of conversations are needed, you must be actively engaging the leadership of your clans or sections. By being a proactive leader and being willing to have the needed conversations, your clan or section will have the leadership needed to be successful, thus making XG stronger.

Shutting Down Clans

When a clan is shut down, it is as a last resort, when everything else has been tried, but the clan is still falling apart or doesn't have the full clan structure in place. These decisions are made after a lot of thought and consideration by the leadership involved with that clan. Of course, nobody likes shutting down a clan but sometimes it is a necessary decision, and everybody should understand that. No drama should be coming from people who do not agree with the decision.

We all understand that it can be upsetting, but please know that shutting down a clan is not done with ill intent, but rather to make sure that all members are in a clan with the correct rank structure in place where they can game and have fun, and also grow as a leader if that is what they want to do. As leaders sometimes difficult choices have to be made and they should be handled with maturity and the confidence that you are making the right decision for the clan and the members within that clan.

Add and Remove Requests

When posting Add and Remove requests on the help desk, please make sure you are verifying that the person has registered on the website by using the Advanced Search bar under "Members". Do not post multiple threads for requests, if you have several people to add, simply post one thread with all the names listed who need to be added. Same with removals, if you have multiple people to remove put all the usernames into one thread but make sure to note next to each name the reason for the removal.

PRIOR to posting any add requests, the clan list has to be updated. If a member was promoted to private but is still listed as a recruit, the request will be denied and will have to be resubmitted. Same with transfers, if someone has transferred in they also need to be added to the clan list before an add request is posted.

Leadership Definition

The definition of a leader is to first be a follower. You cannot expect someone to follow you if you do not know what it is to follow yourself.

A leader simply persuades others to follow them. Having said this, in order for someone to want to follow you, they must see that you have empathy for them and their peers. You do not have to buy into the whole of your surroundings, but showing empathy to those who you lead, goes a long way.

Do not lead by the saying: do as I say and not as I do. Take charge and show those who you are leading that you are willing to get your feet wet also. Too many leaders fail because they walk one way, yet tell their followers to walk another way. It is up to you as the leader of the team to set the goals, formulate a plan of action, and motivate the team towards that goal. In doing so, you have to be willing to work alongside the team throughout the full process.

Communicating Absences

We understand that at times you will not be online for an extended period of time, whether it's due to finals, vacations, life circumstances, etc. We understand that real life should always come first. So if you know your activity will be spotty or non-existent for that time, please let your chain of command know when you are leaving, when you expect to be back, and that you have coverage in your absence.

Clan & Squad Lists

Just a reminder, clan and squad lists must be posted by 11:59pm EST tonight - if you know you won't be able to on the exact day, post it a day or two early so it isn't late. If your captain(s) don't get their squad list posted, you are responsible for posting it for them and following up to see why it wasn't done. If someone isn't performing a basic responsibility like posting and keeping their list updated, chances are they are missing other responsibilities and could be having a negative impact on their squad and on the clan as a whole.

You also need to check your clan usergroup - ask an admin if you need a new copy. Make sure people are being removed as they need to be as well as added. This also goes for the Captain's usergroup, when a captain steps down or is demoted, make sure you are posting the request to take them out of the captain's usergroup on the help desk.

Researching Situations

When anyone comes to you about a situation, make sure you are getting both sides of the story before taking any action. Taking what one person says at face value isn't fair to the other person or people involved in the situation - everybody has the right to tell their side of the story. If someone is saying something that just doesn't seem right, trust your gut and dig deeper into what they are telling you.

Remember that situations do not need to be handled right away, take your time and do your due diligence before making decisions. If you don't know how to handle the situation, ask for help - either a peer or your XS should be able to assist you. If not, use the open door policy. You aren't in this alone, we are all a team and should be assisting others whenever we can.

Transfer Process

Members who are wanting to transfer to a new clan must first go to their current General, not to the General or XS of the clan where they wish to transfer to. If someone comes to you for a transfer who is not currently in your clan, please direct them to their current leadership. No transfer can take place without the member reaching out to their current leadership first! If a transfer doesn't involve your clan, please do not take any steps to complete that transfer such as reaching out to the General or XS of that member, it should be the member having the conversation, not you.

Also, any transfer requests should be processed within 72 hours - if you are having any trouble getting in contact with the people you need to get ahold of, please hit up your chain of command or use the open door policy to assist with the transfer being completed in a timely manner.

Remember that we do not transfer problem children - if they are causing issues within your clan, we don't want another clan having to deal with the same issues. If someone just doesn't quite fit in with the current squad and clan, and they've found another clan where they get along with the members better, that's a perfect reason to transfer out.

Modern Warfare Regiments

Regiments for Modern Warfare are allowed - they are the same as any in-game clan within specific games. It is recommended that only leadership is in charge of the in-game regiment, if you have further questions about in-game clans please ask your chain of command or utilize the open door policy.

Holding Yourself and Leadership Accountable

As a leader in XG, you are responsible for holding yourself to the standard of your rank, as well as your Captains and LTs within your clan. When someone isn't upholding their rank responsibilities, have an honest conversation with them about what's going on and if they need more training, clarification on their responsibilities, or advice on making their squad the best it can be.

Take time to speak with everyone in your clan to learn about what their goals are within the community. That way, if someone is demoted, steps down, or leaves, you know who your next person up could be and you are prepared to move forward and keep the clan on a forward progression.

If you yourself need help understanding your responsibilities better, or just want some advice, use your peers or chain of command to ask those questions. Wanting to learn more will never be seen as a negative step to take, but rather shows that you acknowledge that you and all leaders always have room to grow and improve.

Why You Joined This Community

When you first joined the community, it was probably for many reasons - remind yourself of why you joined, and how you can continue to make other people feel that way and want to join as well. Hold your leaders to that standard so that your clans can continue to grow and be successful.

If someone is preventing that positive atmosphere from being shown to new or potential members, you need to hold them accountable and make the change(s) needed to keep people interested in joining and also to stay as members well into the future.

Professionalism / Attitude

When dealing with issues or just having conversations with your members, always maintain your professionalism and have a positive attitude. If you are unable to present yourself professionally, please remove yourself from the party until you are able to handle the situation calmly and in a professional manner. There is no excuse for handling issues emotionally, the only result that you can expect when you handle a situation emotionally is for the person(s) involved to respond emotionally. Ask for help if you aren't able to approach the situation logically and without emotions running rampant.

This also goes for your professionalism when dealing with your peers - you don't need to like somebody in order to act professionally and treat them with respect. Treat people the way you want to be treated and it will make for a better environment for you and everyone around you.

Team Effort

Everything we do within Xiled Gaming is a Team Effort, regardless of Rank or which squad, clan, section, or division you may be in. Our community is based on the Honor Code, Rank Structure, Rules & Guidelines and Team Work. We pull the rope together and we succeed or fail together, but we always do it as a group. No one person is bigger then the whole, no one loss is more important than all the fun we have together. Here are just a few things we have to do to be the best Community we can be:

*Recruiting: Building our community is everyone's responsibility, no one person can do this alone, make sure you are bringing in good like minded gamers to be a part of the environment you want to create within your clan, with this you will be helping us pull the rope. Just remember that we all are facilitators of fun!

*Training Recruits: It takes a whole clan to be open to new members, invite these potential members to games, welcome them, be a good example, show them the ropes, teach them about the community, and work with them so they can become a valued community member, as we grow its more important that we grow together.

*Clan & Squad Practices: Training together, learning the tactics or strategies for the clan games, getting to know each others playing styles, and learning from each other will prepare us for victory and help us learn from defeat.

*Clan Compete: As a team, everyone should put forth their own best effort in any in-game play, while maintaining the environment of good sportsmanship, regardless of if we win or lose, we always say good game!

*Meetings: Meetings are a great place to share ideas, celebrate successes, discuss any issues, offer feedback on how to improve our clan and squad environments, and vote on new recruits. Remember, we can't make things better without team work. Team Effort is what it is all about. More hands make lighter work!

*Communication: Exchanging thoughts and ideas with the intention of delivering information and goals. Communication is the key to success, not only within the community but also in both professional and personal scenarios. Successful leaders are those marked by their effective use of communication and understanding their followers.

No member gets left behind: ensue all gamers are involved with their squad and other clan members, make sure you and your leadership are reaching out to the ones who are not to find out why and if they can help get them more active and involved.

Do What is Right, Not What Is Easy

Generals

Stay In Your Own Lane

Please remember that any concerns that may involve another clan are not your concern, and they aren’t something that you should be handling yourself. If you have a concern with another clan or something happened with a member in another division, make sure to use your chain of command before handling any issues. Please remember to work with your members as well as your leadership to teach them to use the chain of command if they have a concern or issue with another member or something that’s going on outside of their clan. When using the chain of command, you and your members should be taking concerns up the chain of command, not sideways or down.

People should be comfortable using the open-door policy if their higher leadership isn’t available. If it is something that can be handled the next day and it isn’t a pressing concern, teach them that it’s okay to send a message and get with the person the next day to handle the problem. This will also give them a chance to cool down in case they are getting emotional about whatever is going on.

Clan Research

When talking with your leadership in your clan, make sure you are digging into their squad and finding out the answers before you ask the questions. This way you’ll already know the answer to the question and will be able to verify that your Captains and LTs are completing their responsibilities.

You shouldn’t take what they say at face value, if you know there are issues within the squad and they don’t tell you about them, make sure they know that it’s okay for there to be problems as long as they are acknowledged and addressed. Any positives should also be talked about and you should be giving positive reinforcement just as much as addressing issues.

Clan Compete CDL Domination Tournament

Reminder that our next tournament is coming up in just 6 days – rules, information and sign-ups are available here: Clan Compete

The tournament will be on Saturday, July 18th starting at 8:30pm EST and will be a 5v5 Domination with CDL rules being used. Anyone wishing to participate needs to be registered on Clan Compete and on a team with a maximum roster size of (6) players. No PC players allowed in the tournament – Xbox players only.

There is still room for 4 more teams, so get signed up as soon as possible so you don’t miss your chance!

Website Re-Opening

The website will be opening back up tonight, please hit up your leadership if you have any questions or concerns once you get back onto it. Also please get squad and clan lists posted by midnight on Tuesday, July 14th @ 11:59pm EST and ensure your usergroup matches your clan list as best you can.

We understand there will be some catching up to do, please do it in a timely manner and ask for assistance if you need it.

Usergroup Maintenance

With the release of the new site, both Section Leaders and Generals now have the ability to approve new members into the clan usergroups. Some or most of you were not around when this functionality existed on previous versions of our website. So let me cover a few expectations you may not be aware of.

1. Vetting Requests: When accepting people into your usergroup, you must first verify they are in fact members of your clan. Do not approve any requests where you do not recognize the name.
2. Usergroup Accuracy: Members can only be in one clan's usergroup (XS-XI being the only exception). Go through your usergroup and verify that it is correct by adding members that should be there, and removing those that shouldn't. This should be a regular routine. Keep in mind, your usergroup and clan list must match in order for a clan split to be approved.
3. Recruits & Usergroups: Recruits are not expected to be in the usergroup or registered. Recruits are not members of the community until promoted to the rank of private. At that point, it will become mandatory for the member to be registered as stated in the rank structure. The reason I'm mentioning this is because recruits do not always work out. If you get in the habit of accepting everyone into the usergroup it will lead to you creating more removal requests. Which is not only more work for you, but more work for the Admins as well.

DNR List

The Do Not Recruit List has been eliminated, when researching name changes please check the current members list and use the search function to make sure it isn't too close to an existing name.

Handling Issues

If an issue arises between members, they should be making an attempt to resolve it between themselves before just immediately jumping ranks or using the open door policy. If they are unable to resolve it themselves, that's when leadership needs to be involved, by following the chain of command first - if the issue is between them and another member in leadership, the next rank up would need to be contacted to help get the issue handled, but not before it is communicated properly through the chain of command first.

When removing members from the community. Please make sure you are that you are following the proper steps in the removal process. Make sure you are covering all bases(Clan list,Squad list,Usergroup,Discord). If you need help with any of this please make sure you are contacting your peers or chain of command and they will help you the best they can. Remember just because they are not a good fit for your clan doesn't mean they are not a good fit somewhere else.

Helping out other gamers

One of the benefits of being in Xiled Gaming is that there are members to help other members on games by providing tips, suggestions, and helping them through tough levels. There is no issues helping someone rank up in a game by assisting them in a level or providing them with in-game gear, as long as it is allowed by the game and no modding is occurring. We should be encouraging members to game together and to help each other.

Banner Requests

With the new upgrades to the website, the Clan Banner dimension format size has been updated from 400x75px to 200x80px. Generals if you wish to upload your own banners onto the website, as a reminder it needs to fall in the correct format as seen below.

The Xiled Gaming rank structure is in place to ensure that the responsibility over sections, clans, and squads, is not all placed on one person. Prior to promoting somebody into a leadership rank, you should have worked with them to make sure they knew the basics of the rank beforehand, and that they are capable of making good decisions to better their squad and the clan as a whole. Allowing people to make mistakes is a critical part of them becoming a stronger leader, when you see mistakes happen, have a conversation with them about what they can change in order to prevent that mistake from being repeated in the future.

By doing someone's responsibilities for them, you aren't setting them up for success, because they need to know how to do their responsibilities without you being present. Trust in their decisions and work with them on teaching the leaders and members beneath them the correct way to do things.

Preparing for the Future

When looking at your squads and your clan day to day, take note of things that you see them doing well, and things they could improve on. If your clan is struggling with recruiting, have a conversation with the leadership about what's not working for them. If your clan is growing very quickly, but struggling to find members who want to move into leadership, bring that up in the clan meeting and ask people to speak up on if they have questions about going into leadership, or why some people may be hesitating to move up. Sometimes that's all that is needed, once you start a conversation and have people thinking about something it will help, not necessarily right away, but it lays a foundation for future communication.

As leaders in this community we should always be on the lookout for future leadership, we want our future leadership to be better than what we were. Never hold anyone back, give people the chance to show what they can do for our community as a whole, sometimes you have to break a few eggs to make a good omelet.

Name Change Research

When researching name changes, make sure you are utilizing the Members search to check that the name isn't currently in use. If the name has been inactive for more than 3 years and isn't currently in a usergroup or listed on a clan list, it is okay to approve someone for that inactive name.

As a reminder, gamertags can only be 12 characters total, so anything longer needs to be shortened before approval.

Navigating Clan Forum

Reminder that you have the ability to view your clan usergroup - when going to the Clan Forum, scroll to the right and find "Clan Members" as a tab and that is the clan usergroup. AT LEAST twice a month you need to verify that the clan list and the clan usergroup match. This is important for keeping paperwork updated as much as possible so that higher ups can view it and get accurate information about the number of people currently in the clan.

Recruits should not be accepted into the usergroup until they have been promoted to the rank of private, in order to prevent unnecessary paperwork through the help desk for those who don't make it past the 7 day trial period.

Were all here tonight because 1. We have to 2. We love to game. 3. We want to make a difference.

Tonight I want to change it up some then what we usually do. Tonight I want to share a few things that will make you a great leader and be successful not only in the community but in the real world.

With many years of experience in management I have learned a lot of things in which I institute in my kids. My son as a 4 year old loved football and had a passion for the game. They was a few things I told him before we started. 1. If you start something you finish it. 2. If you start something you give you 110%. 3. Failure is not an option. 4. Hard work pays off. 5. You can never be perfect theres always room for improvement. 6. Team work.

As all of us in here are generals. We all wanted to start something. So as generals we are gonna to finish it. Weather you wanna move up or you wanna just stay general you will follow and move in the same direction.

Being we all started something and we already know were gonna finish it, we are also gonna give our 110% effort to insure that we meet our goal of finish it. 110% effort does not mean that your always doing clan business when your on. But it does mean that you give your 110% while handling your Business.

Being we all started something and we are gonna give our 110% while we run our clans and handle our business there is no room for failure. As generals we run our clans as we see fit, we mold our clans and train our leadership. We don't look back and we learn from our mistakes. We find what works for you and what don't.

Now that we started something we are giving 110% and we know failure is not an option and you will notice hard work pays off. While other generals was blowing smoke up peoples asses and not doing there best meeting minimal requirements and barely setting afloat, you are excelling, your growing, your splitting your clan giving your leaders the same opportunity as you were giving.

Now that you started something your giving you 110% you know failure is not an option and know that hard work pays off you also need to realize you cant be perfect and there always room for improvement. There is always ways to learn to be a better person and a better leader. Once you feel complete and feel as a powerhouse and feel your the best and you stop you are letting others to catch up with you and when you realize this now your spinning your wheels to stay ahead but in reality you have just been passed. All because you got comfortable. Remember always room for improvement.

Now that you started something your giving your 110%, failure not an option hard work is paying off and you never stop growing and are never perfect the next step is the most important. This is the glue to the puzzle. Imagine going down the road, one tire going left one tire going right. What direction will you be going. How easy would you be moving? How much stress on the vehicle are you causing. I taught my son that no matter how good you are there is no I in team. Having a close knit relationship with your team mates will make the difference. Knowing that when your running the ball you know in the back of your mind that your team mates got you. Not because it's there job but because the relationship with your teammates you know they got your back. So with the car with the two tires going two different directions making it harder to move forward adding lots of stress and friction how do you fix that? Team work. Bonded closes with others the two tires are on the same page in sync less stressful less resistance and moving in the right direction.

This is the same as generals. Your part of an awesome team. You yourself are role models for your clan members and leadership who needs you to help them grow as leaders, to lean them in the right direction all while building a bond in which can't be broken by weak minded people that will push forward and not look back. With many generals in XG you can reach out to your peers find out new ideals new ways to think on a situation and grow as a leader. Because of all the things from starting something giving 110% no room for failure always room for improvement and hard work pays off none of this matters if there is no teamwork. No bond between leadership to know they have your back.

Communication is a no brainer in success. In the saying teamwork makes the dream work there is no more true statement. Today my son is 15 he is rank #1 in his class in track and feild he is a top 20 player in his class as football player. He is top 50 player in the state in his class as a basketball player. Not just because he is athletic but because he was giving these few steps to insure his success.

Grass Wasn't Greener

The Grass Wasn't Greener should never be used as a recruiting ground for you or anybody in your clan. If you have information about a GWG applicant, let your XS know and they will be able to post a reply in that individual's application - only XS and higher are allowed to post in current GWG applications.

Please note that if you have a member who is returning that had to put in a GWG application, you need to verify that their application was approved before adding them back into the clan usergroup - if someone has a denied application, they should not be added into the clan usergroup under ANY circumstances.
Additionally, if someone was approved and had to pay to return, they will be placed by an XD or higher and cannot choose the clan they return into.

Verify that if someone says their application was approved, don't just take their word for it. It's a simple thing to check that will save you trouble down the road.

Recruiting / Thinking Ahead

As we get closer to fall, now is a great time to push recruiting - people tend to stay indoors as the weather cools off and we get into fall and winter.
You need to be talking to all of your clan members about recruiting and making it a priority, if your clan has been struggling with recruiting, talk about ways to fix that with either your Section Leader, or with the open door policy.
With new consoles and games still supposed to come out through the end of this year, make sure you have conversations about who is planning on buying new consoles and new games now, that way when they do come out it isn't a surprise to see people switch games or consoles.

This information should be utilized when considering squad splits and clan splits - don't send a group of people out who might not be playing the same games as each other in a matter of a few weeks as that doesn't set the squad or clan up for success going forward.

Leadership Development

With recruiting and growth always comes the challenge of training future leadership. The easiest way to start training potential future leaders is by starting at the very beginning, even as a recruit or as a private, because that way the knowledge has time to develop within their mind and they will be comfortable asking questions from the get-go.

Make sure your clan doesn't just focus on recruiting - it needs to be an equal balance of recruiting and training current clan members, otherwise you'll end up in a not so great situation down the road. That's why we have the rank structure in place, because everyone contributes towards training, whether they are in leadership or not, just from being in parties and games and having conversations. Having the team all working together pulling the same rope in the same direction should always be the goal, because the more people that are doing it, the easier it will be for the group as a whole.

Recycling Leadership

All ranks must be earned - handing somebody a leadership rank only because they have previously held a leadership rank in the past is not what you and your leaders should focus on when considering promotions. Go through their current rank responsibilities and ensure that they are already doing what is expected of them at that rank. Then take a look at the responsibilities of the next rank and evaluate whether or not you think they can handle the extra responsibilities of that rank - if you feel like they could fulfill some but not all, start working with them on those areas that they need training on.

To be clear, nobody is barred from going back into leadership after a demotion, but they need to show that they are going to uphold their rank responsibilities instead of it simply being assumed that "they've done it before so they know what they're doing." Issues which caused them to be demoted need to be addressed to ensure they don't repeat the same mistakes as before, and if you only look at members who had previous experience it becomes easy to overlook members who haven't been in leadership before, even if they are demonstrating more leadership qualities than someone who's been leadership previously.

Removal Requests / Help Desk

Please remember that usergroups should be checked at least twice a month to ensure that they match the clan list - meaning anybody who is in the usergroup who has left, transferred, or been removed for inactivity shouldn't still be in the usergroup. In order to submit a ticket for removal, you need to go to the Help Desk, then select the Usergroup Removal Request category, being sure to follow the correct format as listed, with the correct spelling of the member's name and a detailed reason for the removal. Make sure you are including any specifics that would be needed in case the member wants to return through the GWG in the future. Members removed for inactivity do not need to post a GWG and are welcome to return to any clan of their choice.

Additionally, members need to request to join the clan usergroup and should be accepted only once they reach the rank of private in order to reduce removal requests for recruits who don't stay after the 7 day recruit period.

In-Game Regiments / Clans

When creating in-game clans or regiments, it is recommended to have members of leadership in control of them in order to maintain them and keep things running smoothly. Having an in-game regiment or clan on certain games allows certain benefits and perks that can be used as a tool to help bring in new recruits and members as well, such as XP bonuses, rewards, etc. However, members are not required to be a part of an XG in-game clan or regiment unless they wish to be, they are able to be in any they choose.

Building A Leadership Pipeline

For your clan, you need to have a leadership development plan in place in order for everyone to be successful and achieving their goals. Some might think that training doesn't happen until someone has reached the rank of lieutenant (first leadership rank), but if you take a look at the rank structure under rank responsibilities, you'll actually find that learning and training starts at the rank of private. See the below rank responsibilities for a Private.

Notice the words learn and understand are used, not just locate and read, as it is more than just knowing where to find these items on the website, it's about explaining our rules and guidelines in a way that each individual member understands.

So how are they to get that knowledge? The number one priority of Generals and Captains is to get recruits and privates to the rank of sergeant. That means more than simply promoting members just because they spent their two weeks at private. It means that leadership development begins at this level by providing the foundation of knowledge that every member needs to understand. Specifically, Xiled Gaming's Four Main Components or Pillars which set us apart from every other gaming community, which include the Honor Code, Rank Structure, Promotion Requirements, and Clan Structure. Training can be done in many different ways, from covering information in clan meetings, to one on one training with members throughout the week - many clans cover an article of the Honor Code each week, one rank responsibility, one promotion requirement, and so on. Also, make sure that you are going fully over the rank responsibilities when doing a promotion and ensuring the member accepts them and asks any questions they may have. This will set them up for success in their new role.

Establishing a system of providing this information will start to establish your leadership pipeline. Members tend to be more active and will want to move up the ranks more once they understand the foundation of our community and what is expected of them. You do not want to have a gap in your pipeline due to no one being prepared or trained, just as you do not want your leadership pipeline to be clogged because someone is promoted to a higher position without having the basic knowledge required for the rank. This is not preparing them for success and will cause harm to the clan.

When a leader has to step down due to personal life, or if someone is demoted for failing to complete their responsibilities, it shouldn't cause the clan to completely fail. If a clan is doing really well, you also need a pipeline in place to prepare for potential squad splits or a clan split, so that you have members ready to move up into the new ranks created by splitting.

Clan and Squad Lists

As a reminder, clan and squad lists are due by tomorrow, August 31st @ 11:59pm EST. You need to verify that they have been posted, do not just take your Captain's word for it - check to make sure it was done. Make sure you are deleting all old clan lists as well to keep things clean, there should only be three posts in the clan list thread - the Do Not Post In This Thread, the original clan list, and the current clan list. If you know you will be unable to post your list on time, you are able to post up to 3 days early, or let your XS know that you won't be able to get it done this time. If a captain doesn't post their squad list, you as General need to post their list for them and follow up as to why it wasn't done. Also please make sure edits are being made in between the posts on the 1st and 15th, to add any new members to the clan, remove anyone who needs to be removed, and also to ensure members who were promoted or demoted are listed in the correct rank.

XG Honor Code: Three Values

All members of leadership should be working together and towards the same goals as a team - more hands make lighter work! Growth and development are the basic ingredients for success for all clans and squads within the community. Making sure that the squad and clan are playing the same game together as a team is very important, this helps in developing the environment you as a General want to create for your clan. When you think of your clan, decide what path you want your clan to take - are you casual gamers? Competitive? Establishing your identity as a clan will help to bring in like-minded people, who will gravitate to your clan and members much more than if you don't know what you want your clan to be. If potential members see how your clan is and like what it stands for, and you maintain your clan with that in mind, it will help you to succeed and grow. This will help your leaders grow and be successful in their current rank as well as prepare them for any potential promotions down the road. Remember, a fun environment is an environment that people want to be a part of. Xiled Gaming will always provide the best gaming environment for everyone if you keep this in mind. Xiled Gaming has an amazing future if we all chip in and do our parts. It's up to all of us to pull the rope together achieve greatness!!

Xiled Gaming is about 3 things:

2) Sportsmanship
3) Respect

These three values help us to hold high standards within Xiled Gaming, and are the reason why Xiled Gaming was first founded in 2006. While out in the wild searching for like-minded gamers that represent our values, we should always keep these three characteristics in mind, which is why we always stress quality over quantity. Never recruit simply for the sake of numbers, anybody who recruits should be looking for gamers who will uphold our Honor Code and treat others with respect. Instead of looking for recruits, look for new friends who you enjoy gaming with and hanging out with and you'll have greater success!

No Member Left Behind

Regardless of rank, all members within your clan should be continuously reaching out to other clan members, whether it's for gaming, just hopping in a party with them and chatting, and so on. Awareness of what games each member is playing is something you should always be aware of, with assistance from your captain(s) and lieutenant(s) as well. If a member changes games and doesn't have people within the clan to play with, ask the member if they would like a transfer to a different clan or squad that plays that game, so that they still have people to game with and aren't feeling left behind.

Communication is the key to success!!

For members who are trying new games out and don't want to go to another clan or squad, encourage them to bring in new members who also play - it's the perfect opportunity to have the clan branch out and gives members the opportunity to build a new squad and eventually even a new clan within their current clan. You and their leadership can show them the ropes and start training them as a leader through this. Sending messages to members that you haven't seen for a little while, whether it's on Xbox, Discord, or the website, to find out what's going on with them will help create a stronger community.

Clan & Squad Lists

Reminder that clan and squad lists must be posted by 11:59pm EST tomorrow, 9/14/2020 - If a squad list isn't posted, you as General must post the squad list for the captain and follow up with them about why it wasn't completed. Make sure to check that your clan list and usergroup matches, check that nobody is still listed who needs to be removed, and that any new members have requested to join the usergroup and been accepted after they reach the rank of private.

Remember while being a member of Xiled Gaming you are expected to uphold a professional gaming demeanor at all times. There is no reason to be yelling at other members, messaging in all caps or trash talking other members in the community. We are all here for the same reason, to have a group of people that we enjoy gaming with every day. Remember the golden rule: treat others how you want to be treated.

Generals and Squad meetings:

Generals, it is your responsibility to communicate to your Captains that they need to run the Clan meeting if you are unable to, and it is also your responsibility to run a Captain's squad meeting if they are unable to hold it as well. If you cannot make the weekly mandatory Generals meeting you must inform your Captains so that one of them may take your place to receive the notes for the week.

Generals

Community Wide Support

As leaders in the community, we are all responsible for getting to know all members, starting with when they are recruits and continuing on from there. Our members are looking to have fun, possibly compete in battles and to game, but as leaders we need to be there and listen to them as we might be all they have. Have patience and let ALL members know that your door is always open, whether its clan business or personal. COMMUNICATION is always the key to success and without that communication we would not be the leaders we are today.

Treat others how you would want to be treated, and remember that you never know what others might be going through in their life.

Transfers

As a reminder, transfer must be initiated by the member who is wishing to move, and they need to follow their chain of command in order to complete the transfer. Transfers go in this order: member to current General, who goes to their XS, then the XS needs to go to the XS of the incoming clan who goes to the General of the clan the member wishes to go to. From start to finish, the transfer process needs to be completed within 72 hours (3 days) of when the member requests the transfer. If a member wishes to transfer into your clan and you don't think they are a good fit, you are able to deny the incoming transfer. We do not deny outgoing transfers unless they are a problem child or we feel the transfer could harm the community.

When doing transfers, Generals still need to submit removal requests - the member should not leave the usergroup themselves as then there isn't a paper trail to look back on for research purposes.
