Take time and sort out what is very important and what can wait. We don't want you making this feel like it's a job and getting yourself burnt out. Make sure you’re taking time to handle situations by gathering all the info that is needed, and not just jumping straight into it without knowing both sides of the story.</p><p>Take the time to look into the squads within your clan, and make sure you know what's going on instead of just taking face value of what is told to you. Some people will just tell you what they think you want to hear just so it can be "swept under the rug" and not actually deal with it. Then later down the road it could become a larger issue, instead of being handled when it’s smaller and more manageable.</p><p></p><p><strong>Transfers</strong></p><p>As a reminder, all transfers must be initiated by the member themselves by going to their current General, who will then go to their Section Leader to move on to the next step of the process. If someone approaches you directly who is not part of your clan, make sure you are telling them the proper way to request a transfer and directing them to the appropriate person.</p><p>Additionally, when someone requests a transfer, make sure that they are going to a clan that is a good fit for them.</p><p></p><p><strong>Transfer Process</strong></p><p>Members who are wanting to transfer to a new clan must first go to their current General, not to the General or XS of the clan where they wish to transfer to. If someone comes to you for a transfer who is not currently in your clan, please direct them to their current leadership. No transfer can take place without the member reaching out to their current leadership first! If a transfer doesn't involve your clan, please do not take any steps to complete that transfer such as reaching out to the General or XS of that member, it should be the member having the conversation, not you.</p><p>Also, any transfer requests should be processed within 72 hours - if you are having any trouble getting in contact with the people you need to get ahold of, please hit up your chain of command or use the open door policy to assist with the transfer being completed in a timely manner.</p><p>Remember that we do not transfer problem children - if they are causing issues within your clan, we don't want another clan having to deal with the same issues. If someone just doesn't quite fit in with the current squad and clan, and they've found another clan where they get along with the members better, that's a perfect reason to transfer out.</p><p></p><p><strong>Clan Forum Moderation</strong></p><p>Please make sure you are reaching out to your Section Leader if there is anything you need to be done moderation wise within your clan forum, if you yourself do not have moderator on the website. This means that any old squad or clan lists need to be closed and unstuck. DO NOT DELETE old clan clans or squad lists, these are clan history and should be viewable.</p><p>For clan and squad lists, there should only be three viewable posts – Do Not Post in this Thread, the original list, and the current list. All others need to be deleted.</p><p></p><p><strong>Discord Usage</strong></p><p>Remember that you as a General have the ability to assign roles to members when they join into your division Discord server - make sure you and leadership are getting the link out to new members and getting them assigned so all your members have access to the clan chat box and can communicate with their fellow clan members. Make sure you and your leadership are putting out clan news and announcements as needed, as well as using the leadership channel. Communication is the key to success!</p><p></p><p><strong>Holding Leadership Accountable</strong></p><p>As a General, you must hold your Captains and Lieutenants to their responsibilities as listed in the rank structure - making sure you are calling them out for what they are doing well and what they need to improve on. This includes making sure that your leaders are on top of holding squad meetings and game nights every week, and looking at their online activity - specifically on if they are playing with their squad members to ensure no member is left behind. This in turn is a part of your responsibilities as a General, to ensure your clan is developing and progressing as it should, instead of staying stagnant or declining. This means making sure that everyone is doing their jobs as detailed in the rank responsibilities and rank structure.</p><p>If someone is missing and not completing a couple of responsibilities, talk to them early - see what's causing them to complete some things and not others. If you head it off at the pass before it gets really bad, you more than often will be able to prevent your clan from going stagnant or eventually dying, but if you don't talk to them early you'll have a much bigger issue on your hands. Their current Section Leader needs to approve the name and then they should be changing it on the website prior to changing it on Xbox.</p><p>As an XS, there are two key things you need to check before approving gamertags.</p><p>1. Clan Names - if someone is asking for a gamertag but it is the name of a clan in any of the three divisions, it cannot be approved.</p><p>2. Current Members - if someone currently has a gamertag that is the same, or similar, to someone who has been active within the last (3) years, the name cannot be approved. This can be checked through the website under "Members" as well as the regular search function. Actively recruiting members of another community.</p><p>2. Targeting members of a specific clan to cause issues.</p><p>3. Demoting someone who isn't fulfilling their responsibilities might have a short-term negative effect, but in the long-term it will be better for the clan because people won't see someone staying in a leadership rank who doesn't deserve to hold it which will have a long-term positive effect.</p><p></p><p><strong>Effective Communication</strong></p><p>As a Section Leader, you should be able to clearly explain and answer frequently asked questions. If you don't know the answer, let them know that you will look into it and find out instead of saying that you don't know outright. Make sure you remain calm and collected while being professional during those conversations. Make sure you know the facts before presenting the final answer, instead of answering incorrectly and having to correct it later.</p><p></p><p><strong>Running a Successful Clan</strong></p><p>For you and your Generals, there are a few key things that all successful clans need to do. If these aren't happening, it is your responsibility to get the clan back on track and doing these things.</p><p>1. Holding Clan Meetings & Game Nights weekly</p><p>2. Running Squad Meetings & Game Nights weekly</p><p>3. Handling issues within 48 hours of them arising to ensure drama is not happening within clans - using peers for support to do so as needed.</p><p>4. Ask members for feedback constantly to see what they would like to be different within the clan, to try to always improve and not stay complacent.</p><p>5. Play with all members and ensure nobody is left behind.</p><p>We do NOT tell people who they can play and be in parties with.
