Events Team Meeting Notes
Meetings are held monthly on Thursdays
Xbox One @ 9pm EST
This thread will be updated with the current notes discussed at most recent meeting held.

Thursday, April 6th, 2017

These meetings are NOT mandatory, however, they are highly encouraged for participating in bigger events such as Tournaments and to gain some more friendships, co-hosts, and ideas for future game nights.
If you are unable to make it to the meetings, the notes are posted on the Events Team Forums. If you have questions, comments, concerns, or ideas feel free to hit up XGC Buffy XS or XGC Taurus XS.
When posting game nights, let's remember to check dates of other game nights to ensure we aren't conflicting.
All co-hosts must be on the Events Team Roster. The planning of each event should take place with your co-host.
Money should not be given out or held up as a prize unless it is a Tournament. Please remember, this is NOT a requirement to hold a Tournament. There are other prizes that could be given out such as Signatures, Banners, XG Addict Forums, Etc. However, if you choose to put up a cash prize, please make sure that you pay out to whomever wins. Otherwise, we will ask you not to participate in these such events or your event will be denied in the future.
Meetings will now be Monthly instead of Bi-Weekly. Between meeting times, we will be meeting in small groups to discuss Tournaments that are brought up at the meetings.
Preset Classes - If you are holding a game night with multiple specific classes, multiple banned weapons/perks - DO NOT leave it up to the members in the lobby to set up their classes. This takes a long time, causes a lot of chaos.

Thursday, December 7th, 2017
Call of Duty: WW2 Tournament on Saturday December 16th - please keep spreading the word and encouraging sign-ups. Gather feedback on why people aren't signing up so we can keep that in mind for future tournaments.
Website Calendar: Please make sure that when your events are approved, you add them to the XG Calendar >HERE<, ask for help if you don't know how to do it or look back at previous calendar entries.
XG Birthday Bash - January 4th is the 12th birthday for Xiled Gaming - we are working on plans to have an even bigger extravaganza than last year and would love your ideas or thoughts about making this XG Birthday super awesome! PM Buffy or Taurus or hit us up on Xbox with your suggestions.
Congrats to our two newest Trial Event Coordinators, SYN x BugZ and XGC Dreadnought - they will be holding trial events for prospective events team members along with XGC Craig.

Game Nights – let’s get creative! Challenge yourselves to come up with new game modes and ideas for game nights, instead of the same old stuff repeatedly. Being a part of the events team means you love bringing people together and we should be thinking of new awesome game modes to play during game nights.
Streaming - We will be streaming featured game nights moving forward – if we choose your game night to be streamed, there will be prior notice given.
Events Team Requirements – To remain on the events team, you must host or co-host a game night at minimum every two months. You will be evaluated on whether or not your event starts on time, has a good turnout, and if you keep the participants entertained throughout. Taurus and Buffy will be attending your game nights to ensure your events are held to a high standard. Being apart of our team, please remember that you are not only representing yourself when holding events, but you are representing the XG Team as a whole. This is your opportunity to bring members in the community together, so listen to your members, be creative with your events & it is highly encourage to step out of your comfort zone and host with different Event Coordinators often!

Events Team Voxer Chat - if you aren't in the Voxer Chat please let XGC Buffy XS know your Voxer name in order to be added. Please only use this for hitting up others for game nights and not for chatter, since nobody likes hearing that Voxer sound going off all day.

Game with Fame – check out the recently revamped forum for game with fame, and encourage your members to post in the Recommend a Game With Fame thread, as well as asking interview questions for each guest when those threads go up. Game with Fame is a big deal, and a unique opportunity for our members to game with higher ups and they should be taking advantage of it whenever possible.
Request a Game Night – this thread has been up for three weeks and we haven’t seen a request come in yet, make sure you’re letting your squad and clan members know that it’s there and to use it.
Holidays / Events – moving forward, we are going to do four large events throughout the year around holidays – like we did for XG’s birthday, and St. Patrick’s Day, with multiple game nights on a variety of games. If you have ideas for a holiday event, we’d love to hear them anytime, either on the Xbox or in the idea box in the Community Event Coordinator subforum.
Spamming Events – when you see anything with the spam/share at the end of it, please share it to any clubs you are a part of.
The Design Team is looking for applicants, please spread the word with your members that are graphically inclined.

However, if you are consistently hosting events at the end of this period, or slightly after the two month requirement without communicating with the Events Team Leaders regarding your status, you will be removed from the events team. If you are just here for the banner, and not actually wanting to put in the work to show that you want to be here, it’s not going to be a good fit. Game with Fame – our very own Events Team member, XGC Fliggy XS will be the Game with Fame guest of honor next Thursday June 28th @ 9pm EST – spread the word and hope to see you there!
Spamming Events – After your event is approved, you need to add it to the XG Calendar, and post it on your Xbox Activity Feed and share it to any and all XG clubs you are in. Primarily, the Xiled Gaming overall club, and the XG Events Team club. And whenever you see a fellow events team member sharing their event, you should give it a share to your activity feed as well to help spread the word around.

- Game with Fame – make sure you spread the word and encourage any members to post interview questions for December’s Game with Fame guest, XGC ACE518 XD. The event will be on Black Ops 4 on Saturday, December 15th @ 9pm EST, and anyone wishing to attend should send XGC Buffy XS a message to ensure they are invited that night.
- XG’s 13th Birthday Party – on Friday, January 4th 2019, Xiled Gaming becomes a teenager! What ideas does everyone have for this awesome milestone in XG history? Who wants to take lead on these games?
